Octo Ent LLC ("Octo Ent," "we," "us," or "our") is committed to protecting your privacy and being transparent about our policies and practices. This Privacy Policy describes how we collect, use, store, share, and protect your information when you use our Faxr mobile fax application and related services (the "Services"). This Privacy Policy is incorporated by reference into and subject to Faxr's Terms of Use.
Your Documents, Your Privacy: Documents you upload or scan for faxing are transmitted securely and stored only for the duration necessary to complete your fax transmission and according to your subscription's retention period. We do not sell your personal data or document contents to third parties.
I. COLLECTION OF INFORMATION
Information You Provide Directly to Us
When you create an account and use Faxr's Services, you may provide us with certain information voluntarily, which may include but is not limited to:
- Account Information: Your name, email address, phone number, and any third-party platform identifiers (such as your Apple ID, Google account, or Discord account) if you choose to sign in using these services
- Fax Transmission Data: Recipient fax numbers, fax subject lines and cover page content, the status and outcome of your faxes (queued, sent, completed, failed), page counts, timestamps, and any error messages associated with failed transmissions
- Document Data: Documents you upload, scan, or photograph for faxing, including PDF files, images, and scanned documents captured via your device camera. Cover pages generated within the app are also collected as part of the fax transmission process
- Subscription and Purchase Data: Your subscription plan type (weekly, monthly, or yearly), subscription status, purchase timestamps, expiration dates, transaction IDs from the Apple App Store or Google Play Store, credit pack purchases, credit balance, and receipt data stored for purchase validation
- Phone Number Management: Virtual fax numbers you rent through the Services, including the phone number, region, type, and associated costs. Fax recipient information from your device contacts, including phone numbers, country codes, and contact names
- Feedback and Communications: When you submit feature requests, contact us for support, or provide feedback, we collect the content of your communications, including any rating or details you provide
Information We Collect Automatically
When you access or use our Services, we automatically collect certain information about your device and usage patterns, including:
- Device Information: Hardware model, operating system and version, unique device identifiers, app version, and crash data that helps us improve stability
- Usage Information: Features you use within Faxr, frequency and duration of app sessions, fax sending and receiving patterns, subscription usage statistics, and interaction with push notifications
- Technical Data: IP address (for general location and security purposes), platform identifier (iOS or Android), and other technical information necessary to provide and secure the Services
We may combine information we collect from multiple sources to provide you with a more seamless and personalized experience. When we combine this information, we treat it in accordance with this Privacy Policy. Additionally, we may aggregate or de-identify information so that it cannot reasonably be used to identify you individually. Aggregated or de-identified information is not subject to this Privacy Policy.
II. USE OF INFORMATION AND PURPOSE OF DATA PROCESSING
We use the information we collect for the following purposes necessary to provide our Services to you:
- Account Management and Authentication: Creating and managing your Faxr account, verifying your identity through Apple, Google, or Discord sign-in, enabling secure login, and managing your preferences and settings
- Fax Service Delivery: Processing and transmitting your faxes to recipients, receiving inbound faxes to your virtual fax numbers, providing fax status updates and delivery confirmations, generating cover pages, and managing your fax history
- Subscription and Credit Management: Processing subscription enrollments and renewals, managing credit pack purchases, tracking your credit balance and usage, validating purchases with Apple and Google, and providing accurate billing information
- Communication and Notifications: Sending you notifications about fax delivery status (completed, failed), subscription alerts (expiration, renewal), credit balance alerts, and responding to your support inquiries
- Service Improvement and Analytics: Understanding usage patterns, identifying areas for enhancement, improving app performance and stability, and developing new features
We also use information for the following additional business purposes:
- Safety and Security: Detecting and preventing fraud, abuse, and security incidents; investigating suspicious activity; enforcing our Terms of Use; and maintaining the security and integrity of our Services
- Legal and Compliance: Responding to legal requests and court orders; complying with applicable laws and regulations including telecommunications regulations; protecting our rights, property, and interests; and maintaining records as required by law
- Business Operations: Managing our relationships with service providers, conducting internal audits, facilitating business planning, and maintaining business records
III. DISCLOSURE OF INFORMATION
We are committed to maintaining your trust, and we want you to understand when and with whom we may share the information we collect. We do not sell your personal information to third parties.
Service Providers and Business Partners
We may share your information with third-party service providers and business partners who perform services on our behalf, including:
- Fax Transmission Providers: Third-party fax carriers that handle the actual transmission and delivery of your faxes. These providers receive recipient fax numbers and document content necessary to complete the transmission
- Cloud Infrastructure Providers: Supabase and other cloud hosting services that provide database management, file storage (for PDF documents), authentication services, and real-time data synchronization
- Payment Processors: Apple App Store and Google Play Store for processing subscription payments and credit pack purchases. These processors handle your payment information directly according to their own privacy policies
- Authentication Providers: Apple, Google, and Discord for handling sign-in authentication when you choose to use these services
- Notification Services: Push notification and local notification services that deliver fax status updates, subscription alerts, and other communications to your device
These service providers are contractually obligated to use your information only to provide services to us and are prohibited from using your information for their own purposes.
Legal Requirements and Protection
We may disclose your information when we believe in good faith that disclosure is necessary to:
- Comply with applicable law, regulation, legal process, or governmental request
- Enforce our Terms of Use and other agreements
- Protect the rights, property, or safety of Octo Ent, our users, or the public
- Detect, prevent, or address fraud, security, or technical issues
- Respond to emergency situations where the safety of an individual may be at risk
Business Transfers
If Octo Ent is involved in a merger, acquisition, reorganization, sale of assets, bankruptcy, or other similar event, your information may be transferred as part of that transaction. We will notify you via email and/or prominent notice within our Services of any change in ownership or uses of your personal information.

We may share your information for any other purpose disclosed to you at the time we collect the information or with your explicit consent.
IV. COOKIES AND SIMILAR TECHNOLOGIES
As a mobile application, Faxr primarily uses local device storage rather than traditional browser cookies. We use local storage technologies, including shared preferences and secure storage, to:
- Maintain Your Session: Keep you signed in and remember your authentication state
- Store Preferences: Remember your notification settings and app preferences
- Cache Data: Store recently accessed fax data and document thumbnails for faster loading
- Secure Credentials: Securely store authentication tokens on your device using encrypted storage
You can manage local storage through your device settings, though clearing app data may require you to sign in again and may affect app functionality.
V. YOUR RIGHTS AND CHOICES
You have certain rights and choices regarding your personal information, including:
- Access: Request information about the personal information we hold about you
- Rectification: Request correction of inaccurate or incomplete personal information
- Erasure: Request deletion of your personal information, subject to certain exceptions

To protect your privacy and security, we may need to verify your identity before processing your request. In some jurisdictions, you may designate an authorized agent to make requests on your behalf.
In-App Data Management
Faxr provides built-in features to help you manage your data directly:
- Delete Your Account: Permanently delete your account and all associated data through the app settings or by contacting [email protected]. This action will immediately log you out and queue your data for permanent deletion. Please note that deletion is irreversible and you will lose all your fax history, virtual numbers, and remaining credits
Non-Discrimination
We will not discriminate against you for exercising any of your privacy rights. We will not deny you goods or services, charge you different prices, or provide you a different level or quality of services because you exercised your privacy rights. However, if you choose to delete certain information or restrict our processing, some features of the Services that require that information may no longer be available to you.
VI. INTERNATIONAL TRANSFERS
Octo Ent operates from the United States and your information may be transferred to and processed in countries other than the country in which you reside. These countries may have data protection laws that are different from those of your country. By using our Services, you consent to the transfer of your information to these countries.
For individuals in the European Economic Area (EEA) and United Kingdom (UK), we implement appropriate safeguards for transfers of personal information outside the EEA and UK, including Standard Contractual Clauses approved by the European Commission and the UK International Data Transfer Addendum.
VII. CHILDREN
Faxr's Services are intended for adults. You must be 18 years or older to use our Services. We do not knowingly collect personal information from anyone under 18. If we learn that we have collected such information, we will delete it as quickly as possible. VIII. DOCUMENT DATA PROCESSING
Given the sensitive nature of documents transmitted via fax, we take special care in handling your document data:
Document Handling
- Transmission: Documents you upload or scan are securely transmitted to our fax carrier for delivery to the recipient's fax machine. Documents are encrypted in transit
- Storage: Sent and received fax documents (PDFs) are stored in our cloud infrastructure to allow you to access your fax history. Storage retention periods depend on your subscription tier, ranging from 7 to 90 days
- On-Device Processing: Document scanning via your device camera is processed locally on your device using Google ML Kit before being uploaded for fax transmission
- Cover Pages: Cover pages are generated within the app using the information you provide (recipient name, subject, notes) and are included as part of the fax transmission
Document Security
- Documents are encrypted during transmission and at rest
- Access to stored documents requires authentication
- Documents are automatically deleted after your subscription's retention period expires
- We do not access, review, or analyze the content of your faxed documents for any purpose other than transmission and storage
IX. DATA RETENTION, SECURITY, AND INTEGRITY
Data Retention Periods
We retain your personal information for as long as your account is active or as necessary to provide the Services and comply with legal obligations. Specific retention periods include:
- Account Information: Retained while your account is active, then deleted within 90 days of account deletion unless required for legal purposes
- Fax Documents: Retained according to your subscription tier's storage retention period (7 to 90 days from the date of transmission), then automatically deleted
- Fax Transaction Records: Metadata about your faxes (recipient numbers, timestamps, status) retained for the duration of your account plus 30 days for backup purposes
- Subscription and Payment Records: Retained as required by applicable law, typically 7 years for financial records
- Communication Records: Retained for 2 years for customer service purposes or as required by law
When retention periods expire, we securely delete or anonymize the information using industry-standard data destruction methods.
Security Measures
We implement reasonable security measures to protect your information against loss, theft, unauthorized access, disclosure, copying, misuse, or modification. These measures include:
- Encryption: Data encryption in transit (TLS) and at rest for stored documents and personal information
- Secure Storage: Authentication tokens and sensitive credentials are stored using encrypted device storage (Flutter Secure Storage)
- Access Controls: Role-based access limitations for our personnel
- Purchase Validation: Server-side receipt validation for in-app purchases via secure edge functions
- Security Monitoring: Continuous monitoring for security threats
- Incident Response: Established procedures for security incident handling
However, please understand that no method of electronic transmission or storage is 100% secure. While we strive to use commercially acceptable means to protect your personal information, we cannot guarantee absolute security.
X. CHANGES TO THE PRIVACY POLICY
We may revise this Privacy Policy from time to time to reflect changes in our practices, technologies, legal requirements, or other factors. We will post the updated Privacy Policy on this page with a revised "Last Updated" date.
